How to Configure Your Email Domain for Sending Through Phoenix Ortho

Overview

Explains how to configure the DKIM and SPF records and verify your email domain required for sending mail through Phoenix Ortho.

Assumption

This article assumes that your clinic has a custom domain name. These steps are irrelevant if you use gmail or hotmail or yahoo or some third-party domain like those.

Phoenix Ortho strongly recommends using a custom domain name. A custom domain is very easy to obtain and extremely inexpensive. 

DKIM/SPF Setup Instructions

Phoenix Ortho uses a mail service called Mandrill. 

DKIM

DKIM is a DNS-based email authentication mechanism that helps Mandrill more effectively send mail on your behalf by allowing receivers to verify that we have permission to send your email.  To enable DKIM, create a TXT record for mandrill._domainkey.yourdomain.com (just replace yourdomain.com with the domain you're setting up) with the following value:

Some DNS providers require that semicolons be escaped.  If your provider requires escaping, use this value instead:

SPF

SPF is another DNS-based email authentication mechanism.  If you don't yet have an SPF record, you'll want to add one for your domain. At a minimum, the value should be the following if you're only sending mail through Mandrill for that domain:

v=spf1 include:spf.mandrillapp.com ?all

If you already have a TXT record with SPF information, you'll need to add Mandrill's servers to that record by adding include:spf.mandrillapp.com in the record (before the last operator, which is usually ?all~all, or -all).

Domain Verification Instructions

After completing the DKIM/SPF setup you will need to notify support and provide us with an in-use email address.  It is vital that this address be one that is in-use and monitored and that it is part of the sending domain that was configured in the DKIM/SPF setup. (It DOES NOT have to be the address that is used to send emails from Phoenix Ortho but DOES have to be an address that someone can receive and forward a message from. This address is used only for domain verification purposes.)  

Send these to help@phoenixortho.net.  

Here is an email template for you to use (just replace yourdomain.com with the domain you're setting up)​​. 

Phoenix Ortho Support:

I have completed the DKIM/SPF setup for yourdomain.com.  Please send the domain verification request from Mandrill to validemail@yourdomain.com. 

Sincerely,

Your Name

We will then use that email address to generate and forward to you a verification request email from Mandrill.  This verification request will need to be forwarded immediately to help@phoenixortho.net.  Do not click on the link in the email simply forward it to help@phoenixorth.net

The verification email will be from Mandrill Client Services <help@mandrill.com> and will have the following body:

Once we receive this from you we click on the link and confirm that the verification process has been completed.

Your email domain is now configured for sending emails out of Phoenix Ortho apps and services.
