Charge Submission to the PM

Overview

Provides a step by step guide to charge submission.

Goal

Demonstrate best practices within PO EHR to submit charges to the PM

Submit Charge Workflow Options

Charges are Submitted by the Provider/Staff

Tools > Submit Charges

Filter by Date

Filter Status

Click column heading to sort alphabetically by Patient First Name or Provider Name, Date or Status

Charges that have been submitted to the PM by the provider/clinical staff from Code Check will immediately appear in the PM and can be audited in the PM accordingly

Select Submit Charges > Select OK

Charges have been Enqueued by Provider/Staff-

Select Code Check

The Selected Code field must have a value in it. Either verify the System Code or select an over ride code from the list to the right.

Tools > Submit Charges.

Filter by Date

Filter to Status > Search

Click column heading to sort alphabetically by Patient First Name or Provider Name, Date or Status

Select Submit Charges > Select OK

Charge Audit Process

Select the Dx button on the provider workflow row to access the charge ticket to audit charges

Diagnosis codes and CPT codes can be modified on the charge ticket. Always check with the provider regarding changes to the diagnosis or CPT codes according to your office police. If a note has already been generated and the diagnosis or CPT has changed, the note needs to be recreated according to your office policy and process.

When audit of charges is completed, select Save-Close.

Adding the E&M Code

Select Code Check

The Selected Code field must have a value in it. Either verify the System Code or select an over ride code from the list to the right.

Tools > Submit Charges

Click column heading to sort alphabetically by Patient First Name or Provider Name, Date or Status

Sort by Pended charges

Select Submit Charges button at the lower left corner of the charge screen ad an alert will populate onto the screen advising that “All charges were successfully submitted”, select OK.

Documenting Corrected Charges

For Best practice and for auditing purposes, document any charge corrections/modifications within the Comments tab, under Visit Summary as seen below. Make sure to SAVE CHANGES after documenting:

Charge Submission Troubleshooting

There a few scenarios that a user may encounter when not seeing any charges in the charge ticket screen while submitting charges. While these scenarios don’t include all of the possibilities, they are the most common.

A. If a user has already sent the charge to the PM, it can’t be submitted a second time

B. When the provider has not completed the visit, the user won’t see the charges. How does a user know if the visit is completed? Simply go to the provider workflow on the front dashboard, in the Visit Console section and select the workflow icon:

A list of patient will populate onto the workflow section of the screen and by hovering over the patient’s name, you will see what is incomplete/undocumented for a particular visit, for instance, no diagnosis code or no office visit selected:

Depending on the clinical/billing workflow, these sections must be completed prior to charge submission. Speak to your administrator on how to best handle this in your clinic. Who will complete the visit? Best practice is to have the provider document this information.

C. When a visit is kicked off on the home dashboard as a follow-up (for instance) then the provider goes to the code check and changes it to post-op. Charges won’t be seen in the charge submission screen because it must be changed on the front dashboard first.
